2017 Annual IAEAPE Conference Exhibitor Guidelines and Requirements / Registration Form

The conference will be held in the Marquee Ballroom at the DoubleTree Suites by Hilton Hotel in Santa Monica, California (see space layout).  Exhibit tables will be arranged in the Marquee Pre-Function area along with the registration table.  Attendees will pass through this area at the beginning and end of the day and during the breaks. 

The conference is spread over three days – One full day and two half days.  The exact times have yet to be determined.  The proposed schedule is as follows:

Sunday, October 1 – Half Day – Begins at 1 pm with opening remarks by the IAEAPE President, followed by the Keynote Address.  There will then be a 15 minute break before the next presentation which will conclude at 4:30.  Attendees will then attend a reception in the Garden Terrace. 

Monday, October 2 – Full Day - Breakfast and the first presentation will begin at 8:30.  There will be 4 presentations with 15 minute breaks in between.  There will be lunch and a business meeting beginning at 12:30pm, and the final presentation will end at 4:30. 

Tuesday, October 3 – Half Day - Breakfast and the first presentation begin at 8:30am.  There will be a 15 minutes break before the second presentation at 10 am.  Box lunches will be served at noon.

The finalized version of the program schedule with exact times will be sent to all exhibitors as soon as it is completed.


Costs and Guidelines:

Each table is 6 feet in length and can have up to two chairs.   Costs are as follows:

$350.00                 Table for full day, Monday October 2nd, 2017

$450.00                 Table for full day and one half day

$550.00                 Table for full day and two half days


  • Exhibitors can set up their tables before the conference begins each day and remain until all the attendees have departed each day.
  • All Exhibitors are responsible for their own property and populating their own tables.
  • All Exhibitors are responsible for travel, hotel reservations and business office expense.
  • No Exhibitor will be allowed to exhibit, sell or distribute any materials without the purchase of an exhibit table.
